You have found that wonderful new office space. It’s easy to reach for both employees and clients, plus there’s plenty of parking on site. Now it’s time to move. What could go wrong?
In a word, everything, but only if you don’t prepare your company for the move now that the lease is signed. It’s tempting to simply set a date for the move and work up until the last possible moment. Doing so, however, can invite a host of pitfalls that will make the transfer to your new work home chaotic and unpleasant.
Instead of leaving the move to chance, follow this office move checklist that will help you stay within your moving budget and easily meet the moving deadline.
You don’t have to do all of the planning by yourself. Gather a few key employees and do the work together. Make a list of what needs to be done, deadlines for those tasks as well as individuals responsible for each.
This job is the first that you should accomplish after selecting your task force. Interview movers, review prices and what is included in the quote and ask if they will accommodate special needs that you may have. Be sure to hire a commercial mover experienced in office moves; do not hire a residential mover for your office move.
Just as with a home move, every office has items that don’t need to go to the new space. Throw out the old, stale coffee in the back of the cabinet, recycle old brochures and other outdated printed information. Do the same with broken or obsolete office equipment.
Inform utility companies of your move from the old office to the new one. As business operations won’t cease entirely during your move, make sure that clients have a way to contact you through cell phone numbers and email addresses in case of an emergency.
If your moving company provides boxes, allocate some along with tape and other essential to each employee and make each pack his or her office or cubicle. Place boxes in common areas and assign teams to do some of the small packing to ready everything for movers on the big day.
Problems can and will arise after you close on a new office location. Chances are your tenant representation commercial real estate broker has experienced these issues before with previous clients. Rely on the experience and expertise of your tenant adviser to anticipate and solve problems.
